Privacy Policy

This Privacy Policy explains how QuiltKeeper Longarm Studio (“QuiltKeeper,” “we,” “us,” or “our”) collects, uses, and shares personal information when you use our business-management software at longarm.quiltkeeperstudio.com (the “Service”). It applies to both Studio Owners (account holders) and Quilting Customers (clients who submit intake forms, view quotes, or pay invoices through the Service).
Our two roles
We handle personal information in two different roles:
- As a controller for the information of Studio Owners — the people who sign up for and pay for the Service. This policy governs that information.
- As a processor for the information a Studio Owner enters about their own Quilting Customers. The Studio Owner decides how that information is used and is responsible for it; we process it on their behalf to operate the Service. If you are a Quilting Customer with questions about your data, contact the quilting business you’re working with. We will help them respond.
Information we collect
Information you give us (Studio Owners)
- Account details: your name, email address, and password (stored in hashed form by our sign-in provider).
- Business details you add, such as your studio name and logo.
- Billing information for your subscription, handled by Stripe (we do not store your full card number).
- Messages you send us, such as support or setup-help requests.
Information you enter about your customers (as a Studio Owner)
- Quilting Customer contact details: names, email addresses, phone numbers, and addresses.
- Quilt and job details, including photos you or your customers upload, measurements, pattern choices, and notes.
- Pricing, quotes, invoices, and payment records (including manually recorded cash or check payments).
Information collected automatically
- Essential cookies used to keep you signed in and to operate the Service. We do not use advertising or cross-site tracking cookies.
- Basic technical and log data (such as IP address and browser type) generated by our hosting provider to deliver and secure the Service.
How we use information
- To provide, operate, and maintain the Service;
- To process subscriptions and payments;
- To send transactional and account-related emails (for example, intake confirmations, quotes, invoices, and receipts you send to your customers, and service notices we send to you);
- To provide support and respond to your requests;
- To secure the Service, prevent abuse, and comply with legal obligations;
- To maintain and improve the Service.
We do not sell your personal information, and we do not use the contents of your account to advertise to you or your customers.
How we share information
We share personal information only as needed to run the Service, with service providers (“subprocessors”) that process data on our behalf under contract:
- Supabase — database, account sign-in, and file storage (including quilt photos).
- Vercel — application hosting and content delivery.
- Stripe — payment processing for your customers’ invoice payments (which go directly to the Studio Owner’s connected Stripe account) and for QuiltKeeper subscription billing.
- Resend — delivery of transactional emails.
We may also disclose information if required by law, to enforce our Terms, or in connection with a merger, acquisition, or sale of assets (in which case we will notify affected account holders). We do not otherwise sell or rent personal information.
Data isolation and security
The Service is multi-tenant: each studio’s data is logically separated, and we use database row-level security so a studio can only access its own records. We protect information in transit using encryption (HTTPS), store passwords in hashed form, and limit internal access. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
Where data is processed
Our providers process and store data on infrastructure that may be located in the United States. By using the Service, you understand your information may be processed there.
Data retention and deletion
We keep account and customer data for as long as your account is active and as needed to provide the Service. You can edit or delete individual records (such as customers or jobs) at any time within the app. To close your account and have your data deleted, email hello@quiltkeeperstudio.com; we will delete or anonymize your data within a reasonable period, except where we must retain certain records (for example, payment and tax records) to comply with the law.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. Studio Owners can exercise these rights by using the app or contacting us. If you are a Quilting Customer, please contact the quilting business you worked with; as their processor, we will assist them. We will not discriminate against you for exercising these rights.
Children’s privacy
The Service is intended for businesses and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and, where appropriate, notify you. Your continued use of the Service after changes take effect means you accept the updated policy.
